JOB OVERVIEW
The Specialist, Western Canada Leadership Giving Events is responsible for the successful execution and logistics of multiple fundraising events in the Western Region with a primary focus on our annual Daffodil Ball in Vancouver. Reporting to the Senior Director, Leadership Giving, the Specialist will work closely with a variety of internal and external teams to ensure synergies and success for all events such as pop-up dinners, donor recognition events and Board/Donor reception, specifically assisting with creating a seamless experience for sponsors and guests.
WHAT YOU’LL BE DOING:
This position is responsible for helping to execute the developed business plans and logistics for the Daffodil Ball Vancouver and Western region events. There will be close interaction with staff members, donors, vendors and volunteers to ensure that all logistical components of the event are established, implemented and executed on time and within budget.
Daffodil Ball Logistics Management (65 %)

On-going management of objectives, revenue and expense goals to make sure we are on track and to alert management to any risks.

Executes and ensures the critical path deadlines are met.

Creates, updates and maintains all tracking documents pertaining to the event including tables sales, sponsors, budget, run of show, etc.

Assists with meeting minutes and tracking deliverables from internal teams.

Develops, analyzes and reports on monthly progress towards goals.

Develops and analyzes post-event and year-end statistical reports.

Recording and processing donations, sponsorship, gifts in kind and other revenues and records in database

Coordinating pre-event, day-of event, and post-event activities relating to receiving, processing and reconciling donations from fundraising events as needed
Resource Development (25%)

Coordinates the event’s digital, marketing and communications needs in partnership with the Society’s internal digital, marketing and communications departmentsClosely collaborates with Corporate Partnership team to:

Help prospect sponsorship opportunities Maximize the fundraising potential of the events
- Steward corporate and individual donors; pre and post events
Workforce (staff and volunteers) Management (10%)

Assists in stewardship of all event committee members as well as sponsor partners.

Coordinating and collaborating with relevant team members across the organization to ensure they are clear on deliverables, responsibilities and timelines.

Building strong working relationships with team members, vendors, donors.

Work closely with Daffodil Ball Consultant and Western teams to develop and implement the marketing, advertising, and social media plans for all events.

Generate donor reports and drafts of thank you letters, ensuring donor acknowledgement meets turnaround target of 48 hours.
Budget Preparation

Provides input to the development of event goals and objectives, policies and procedures.CRM (Salesforce) list pulls/reports/data integration

Helps to optimize CRM and Microsoft office to develop timely and accurate financial reports Actively contribute to our culture of justice, belonging, equity, diversity, and inclusion by ensuring that all staff feel represented and heard regardless of their gender, age, religion, ethnicity, and nationality or race.
EDUCATION & QUALIFICATIONS:

Experience organizing and executing large scale events.

Proven ability to interact with senior level business and community leaders. An understanding of the local philanthropic community would be beneficial.

Knowledge of operational planning, budgeting, and financial analysis required.

Superior interpersonal skills with highly developed verbal & written communication skills:

Proven relationship management skills with donors and volunteers

Strong presentation (one-to-one and to groups)

High attention to detail

Ability to work a flexible schedule, including evenings and weekends and to travel to attend meetings, workshops.

Related event management experience and expertise in the area of revenue development

University degree or professional certification in fundraising, sales or related business discipline.

Strong organization and problem-solving skills, with proven ability to be resourceful and creative.

Strong technical skills with high level of familiarity with online platforms
-
Knowledge of or experience working in a fundraising environment would be advantageous.

Ability to represent CCS with a polished, positive, and professional demeanor and attitude at all times.

Three to five years’ experience in conducting special events, revenue development, annual giving or related field or equivalent combination of education and experience.
