What will you be doing?
The Coordinator ensures an excellent Client Experience for every visitor to the local Teknion Showroom, takes responsibility for an immaculate and well-managed showroom, organizes meeting schedules, catering and client assistance as required. This position assists the Western Sales Team in all showroom-based activities, with the ultimate goal of furthering the achievement of the regional Sales Team sales objectives. He/she will ensure their conduct, demeanour and grooming meets the high professional and ethical standards reflective of a professional workplace and reflect the Teknion Brand. The coordinator will manage the day-to-day office/showroom operations of the local Showroom facility. The role will also provide administrative assistance to Regional Vice Presidents, Regional Sales team and administrative support to the regional team. Provide RFP Support with Powerpoint submissions for the Western Canada Sales team.
Specific Accountabilities
Client Experience
- Greet visitors
- Provide services necessary for effective showroom presentation. Arrange catering for frequent lunch and learns and client meetings. Provide refreshments for visitors to the showroom. Arrange gifts as required.
- Conduct showroom tours for “drop in” visitors, as a back-up to sales team
- Ensure all literature, fabric & finishes and supplies are up to date and available to sales staff; order literature/samples from Teknion Fulfillment; set-up and maintain general filing areas.
- Coordinate technology set-up to support client meeting/presentations
- Liaise with Teknion HQ re new product launches and showroom reconfigurations/changes
Showroom Operations
- Co-ordinate all aspects of the showroom to ensure effective function of the showroom.
- Manage all aspects of showroom facilities- furniture, lighting, heating, phone & data systems interior upkeep
- Supervise cleaning staff
- Order and maintain office supplies
- Provide technical support for all office equipment– phone, computers, printers, photocopiers.
- Maintain Business Centre, including ordering and stocking of office supplies, stationery, courier packaging and maintenance of the photocopier
- Oversee Kitchen Cleanliness, manage team expectations – Dishwasher duties etc.
- Prepare boardroom (conference lines, refreshments, IT, agendas) and clean up for team meetings
- Order catering for offsite lunch & learns
Administrative Support
- Provide administrative support to Regional VP, i.e. expense reports
- Provide administrative support to sales staff
- Submit IT Request forms for New Employees and other requirements for a new hires, business cards, Corporate Credit Card
- Maintain Teknion Gift program ordering and packaging
- Update Salesforce.com
- Prepare boardroom (conference lines, refreshments, IT, agendas) and clean up for team meetings
- Manage Cheque Requests, Invoicing and Vendor Master Records
- Maintain and update Regional Sales Calendar
- Maintain and update Marketing Calendar in SFDC
- Track Vacation Requests
RFP Coordination
- Coordinate RFP responses by collecting information from Teknion and dealer sales for input to the final document, review and edit the final document, and handle printing and bundling of RFP final package.
Event Coordination
- Assist RVP in planning weekly Sales Team Meetings
- Coordinate Webinars
- Assist RVP in planning and executing Regional Sales Meetings
- Assist with event coordination for sales and marketing events ie. Dealer Holiday Party etc.
- Provide help and assistance as required on designer/dealer events
- Participation in evening events/after-hours will be required from time to time
What skills, experience and education are we looking for?
- Minimum 3 years of related experience, with a background in a customer service-oriented environment
- Must be highly organized with the ability to multi-task
- Must be a resourceful, detail oriented and flexible individual
- Excellent interpersonal and communication skills
- Proficient in Microsoft, Word, Excel, and Powerpoint.
- Database knowledge is also an asset
- An understanding of the Architecture and Design Industry would be an asset
