Job Overview:
We are currently seeking an Events and Marketing Specialist who possesses exceptional communication skills and excels in collaborating seamlessly with both internal teams and external vendors. Your extensive expertise in trade show and event logistics will be instrumental in ensuring flawless execution, while your solid grasp of event strategy and marketing will make you a key contributor to our cross-functional success. The position offers a hybrid work environment, with 2 days of remote work from a home office and the remaining days in our offices located in Milton, Ontario.
Job Responsibilities:
Trade Show Management – In-Person & Virtual
1. Collaborated across Marketing, Sales, Sampling, Customer Service, and Warehouse teams for flawless pre-event, onsite, and post-event execution.
2. Employed advanced MS Office skills to meticulously manage and update the annual trade show calendar.
3. Showcased meticulous attention to detail while tracking contracts, sponsorships, and event timelines.
4. Ensured seamless event delivery from setup to teardown, managing timelines and unforeseen changes.
5. Generated insightful post-event reports on attendance, engagement, and ROI to enhance future strategies.
6. Showcased organizational finesse to craft a cohesive and impactful brand image at trade shows.
Projects and Vendor Coordination
1. Exhibit outstanding time management prowess by deftly overseeing numerous projects and meeting crucial deadlines.
2. Utilize extensive expertise in effectively managing a diverse range of vendors, encompassing tasks such as procuring promotional items, overseeing printing, and coordinating tradeshow services.
a) Under the guidance of the Product Marketing Manager, ensure a consistent stock of promotional items, merchandise, and apparel for customer giveaways.
3. Play a pivotal role in maintaining seamless operations by nurturing positive relationships with vendors.
Forging Strategic Alliances and Mastering Logistics
1. Establish strategic partnerships with the Sales team to shape trade show objectives and requirements.
2. Collaborate with the design team to develop visually appealing event collateral (i.e., booth graphics, digital banners, sell sheets, show promo flyers, etc.) ensuring consistency with the brand's visual identity under the direction of the Product Marketing Manager
3. Manage logistical aspects of trade shows, including ordering, packing, and shipping show materials, hotel bookings, booth staging/creative placement, booth setup, and tear-down, ensuring a seamless experience.
4. Collaborate with service providers to secure essential booth elements and elevate attendee engagement.
Orchestrating In-House and Remote Events
1. Showcase exceptional organizational skills in managing, promoting, and executing all in-house and customer-hosted Product Training Workshops/Special Events.
2. Foster collaboration across Marketing, Sales, Sampling, Customer Service, Technical, and Warehouse teams to maintain the Training Center Facility and optimize event registrations through marketing campaigns.
3. Work closely with the Digital Marketing team to seamlessly integrate event registration processes using Salesforce.
4. Create engaging educational experiences that enhance participant knowledge and brand affinity.
Marketing Team Support
1. Display an unwavering commitment to precision while offering crucial assistance for National Sales Meetings, corporate events, and the requirements of the Marketing Department.
2. Apply your expertise to design-oriented tasks, including the creation of refined PowerPoint presentations, and collaborate with graphic designers on design directives.

Qualifications:

2. Three (3) plus years of proven experience in planning, coordinating, and executing trade show events, as well as other corporate events, showcases the candidate's ability to manage logistics, deadlines, and diverse stakeholders effectively.
3. Previous experience in managing vendor relationships, including negotiation, procurement, and services coordination, is crucial for maintaining smooth operations and successful event execution.
