All Purpose was founded in 2017 as a multidisciplinary business that has quickly grown. Our teams include visual designers, brand strategists, UX engineers, developers, digital marketers, illustrators, video producers, editors, storytellers, project managers, animators, and researchers.
In order to support our mission, we are looking to hire a hybrid role, Executive Assistant / Administration Coordinator to help drive the success of our leadership and provide team support. The ideal candidate must be detail-oriented and collaborative, forward-thinking, accountable and passionate about fostering a positive culture.
This is a part-time (20hr/wk) position with room to move to full-time should the opportunity present. We are open to candidates working remotely within core hours of 9am-5pm PST.

Role Responsibilities
Executive Administration
- Support for our three founders including:
- Business Development Administrative support including inputting and maintaining sales data into Active Campaign
- Assist with travel planning, expenses, and calendar management
- Assist with research projects to support business development initiatives
- Assist in gathering signatures for legal documents and storing digital files
- At the direction of leadership update the employee policy handbook when required
- Manage all administrative initiatives and ad hoc programming/reporting as requested
- Other duties as requested by management related to the company mission and vision
Office Management
Manage our direct stakeholder vendor relationships and administration functions of our office to ensure smooth day-to-day operations and team support including:
- Manage vendors for office facility services
- Process incoming mail sent to the office
- Maintain Office supplies
- Coordinate team meetings - All hands invitations and Zoom recordings
- Process incoming emails sent via the company website
- Conduct all feedback and NPS surveys
- Assist with event planning or office catering, as requested
- Assist with job postings & resume review to create a qualified pool of candidates when required
Team Support
- Coordinate the onboarding process for new hires
- Maintain Equipment List and coordinate the purchasing of Hardware and computer set-up for new team members
- Manage our HRIS system and employee files; ensure that all systems are updated when there are changes to employee or contractor agreements
- Serve as Group plan administrator for employee group benefits
- Manage updates to the AP Team Site
- Track Contractor expiry dates
- Provide book-keeping support to our Senior Accountant
- Coordinate the off-boarding process for team members
You have or you are:
- At least three (3) years of directly related experience in a related role such as an executive assistant, office administrator, office manager or project coordinator
- Experience in a creative agency or services firm is an asset
- Understanding of Bamboo HR, Google Suite, Quickbooks Online, MS Office, and Wagepoint. Active Campaign, Notion, Slack, and Zoom would be an asset
- Proven ability to balance multiple priorities
- Ability to maintain a high level of confidentiality
